Senior Executive (Export)

Job Description / Responsibility

Customer & Shipment Coordination
Receive export shipment requests and confirm shipment details (Incoterms, cargo, pickup, deadlines).
Prepare and share quotations (air/sea) and service options (routing, transit time, cost).
Coordinate bookings with airlines/shipping lines and confirm space allocation.
Update customers on shipment status, cut-off times, ETD/ETA, delays, and exceptions.
Export Documentation & Compliance
Collect and verify shipping documents: Commercial Invoice, Packing List, LC/PO, Export Permit (if applicable), COO, etc.
Prepare/coordinate documentation: HAWB/MAWB, BL/MBL/HBL (as applicable), shipping instructions, SLI.
Ensure compliance with export regulations, airline/line requirements, and destination documentation rules.
Operations & Stakeholder Management
Coordinate pickup, cargo receiving, stuffing (for sea), and airport/port handover.
Liaise with warehouse, transport, operations, overseas agents, and carriers for smooth execution.
Track milestones: booking confirmation, cargo handover, gate-in, SI cut-off, DG filing (if needed), departure confirmation.
Resolve issues such as rollover, short-shipment, documentation errors, and cargo discrepancy.
Billing & Records
Create job files and ensure cost/charge sheets are accurate.
Coordinate invoicing with accounts and ensure supporting documents are complete.
Maintain shipment records, emails, and SOP compliance for audits.
Key Performance Indicators (KPIs)
On-time booking and documentation submission
Low documentation error rate
Customer response time and satisfaction
On-time departure / minimal rollovers
Proper cost control and billing accuracy

Educational Requirements

Bachelor/Honors

Experience Requirements

1 to 3 years
The applicants should have experience in the following business area(s): Logistic/Courier/Air Express Companies, Garments Accessories
