Position

Deputy Manager/Manager - HR

Reports to

Respective Branch Head / Head – HR Strategy / Head – HR Operations

Overall Objective

To spearhead and manage the HR activities in the respective branch / region.

SCOPE

  • Cover the entire spectrum of HR activities for the branch / region
  • Establishing contact with the respective manpower organisations to promote and manage sourcing
  • Induction and on-boarding of the new entrants per agreed timelines.
  • Employee orientation and development
  • Attendance and leave management
  • Establish and maintain appropriate systems for measuring necessary aspects of HR initiatives and development.
  • Initiate Employee Retention and Recognition Programs. Successful execution and management of the existing R & R programs.
  • Execution and monitoring of the HR policies, procedures and programs.
  • Regulatory /statutory compliances
  • Grievance handling and employee relations

Key activities

Staffing, Orientation

Staffing, Recruitment
a) Relevant paperwork (COF, MPR, Job Descriptions, etc) w.r.t all positions completed on timely basis - Manage paperwork for employee referral program and guiding employees on the same.

On-boarding & Induction
On-boarding formalities as extant to be adhere to and monitored, new improvisations to be initiated.
Ensure Induction process for all entrants – day 1 of joining

Employee Engagement & Corporate Communications

Employee communication, via various forums/mediums:
Mailers announcing internal developments.
Driving corp. HR initiatives locally with branch / regions.

Country Newsletter via country Intranet - supporting the Corp. HR
/ Editor in this endeavour by facilitate articles, contributions from employees, country updates on a periodic basis

Reward & Recognition
Ensure implementation in harmony with the extant R & R policies, practices in place. Suggest improvisations and ensure successful execution/roll outs.

Focus Groups
Formation and sustenance of the group.
Drive the entire program in accordance with corporate guidelines
Regular monitoring and summarizing actions from Focus group activities.

FUN quotient
Monthly / periodic get-together (Fun) events, innovative competitions

Training & Development

  • Ensuring execution of programs locally / regionally as per calendar or plans.
  • Identifying Training Organisations to deliver programs
  • MIS & Mandays track in application systems.
  • Support the corporate level initiatives in the organisation’s L & D vision
  • E-learning – support the Corporate HR to manage the e-learning platform in its entirety.  Ensure programs announced or released get driven locally.
  • E-learning – work on building and announcing new relevant programs on the existing portal

Performance Management

  • Monthly KPI reviews through the system across the board.
  • Ensure KPI are set within first week of joining all across the region
  • Grievance handling and reporting the same to corporate.
  • Any other initiatives which will emerge from time to time

Management Trainee Program

 

  • Assist and support the Corp. / Regional Management in the Campus hiring programs.
  • Inducting the MT into the system
  • Ensuring Induction / MT program is driven locally in accordance with corporate guidelines.

 

Payroll coordination activities

  • Liaise with corporate HR for necessary stop payment instruction; complete necessary paperwork
  • Leave / attendance related queries and coordination with corp. teams/payroll partner
  • Exit process – initiate necessary forms, exit interview process
  • Conducting exit interviews at apt. Levels
  • Collate the exit interview reports in the desired manner
  • Information to Corporate HR about cheque release and monitor

         paperwork; relieving letter administration

  • Query mgmt. and responding to ex-employees on PF and related info.

Regulatory compliances
&
MIS reporting

  • Regulatory compliances
  • Necessary coordination with the advisor for few statutory reports & documents.
  • Periodic MIS reporting to Sr. Mgmt. in required formats
  • Monthly FTE / headcount reports to be prepared in desired formats and pre-decided dates
  • Organisation charts updations

Administration

  • Vendor Mgmt.; generating options, negotiation for better rates
  • Overseeing / manage invoicing/payment follow-ups for all recruitments/Psychometric tools that are being used
  • Ensure contact lists are updated and circulated, periodically
  • Any other admin. activities under the branch purview

  • Policy development documentation and EXECUTION
  • Employee / Corporate communication
  • Employee safety, welfare, wellness and health
  • General knowledge of various employment laws and practices
  • Experience in the administration of various benefits programs and other Human Resources initiatives

Expected years of experience

  • Minimum 4-5 years in the relevant role/experience

Educational Qualification

  • Graduation in any discipline (Mandatory)
  • If Post Graduate, then preferably in Human Resources
