Job Description / Responsibility
- Job Summary: The Freight Invoice Validation Assistant is responsible for ensuring the legitimacy of shipments, matching the agreed-upon tariffs, and verifying the accuracy and compliance of freight invoices with established agreements. This role involves preparing detailed freight reports for management review.
- Key Responsibilities:
- 1. Invoice Validation:
- Verify the legitimacy of shipments by reviewing shipping documents and delivery confirmations.
- Match freight invoices to agreed tariffs, ensuring that charges align with the contracts.
- Ensure accuracy in billing by cross-referencing invoices against service agreements and shipment details.
- Maintain compliance with internal policies and industry regulations regarding freight invoicing.
- 2. Report Preparation:
- Compile and analyze data related to freight costs and service performance.
- Prepare detailed and summary reports highlighting key metrics for management, including discrepancies and compliance rates.
- Assist in budgeting and forecasting by providing relevant freight cost insights.
- 3. Data Management:
- Maintain organized records of freight budget, invoices, payments, and related documentation.
- Update databases and spreadsheets with accurate information related to freight charges and validations.
- 4. Communication:
- Liaise with service providers and internal teams to resolve discrepancies and clarify billing issues.
- Provide timely updates to management regarding invoice processing and validation results.
Educational Requirements
- Bachelor of Business Administration (BBA)
Additional Job Requirements
- Bachelor’s degree in business, logistics, or related field preferred.
- Previous experience in freight, logistics, or invoice processing is advantageous.
- Strong attention to detail and analytical skills.
- Proficiency in Microsoft Office Suite (especially Excel) and freight management software.
- Excellent communication skills, both written and verbal.
